Privacy Policy
This policy explains how Racqed Coaching (“we”, “us”) collects and uses personal data when you use this website, book a session or get in touch. We are the data controller for this information under the UK GDPR and the Data Protection Act 2018.
Who we are
- Business name: Racqed Coaching
- Contact email: headcoach@racqedcoaching.com
- Website: https://www.racqedcoaching.com
What we collect
When you book a session: your name, email address, phone number, the session you booked and any information you add to the booking form. For junior sessions this includes the child’s name and age and the parent or guardian’s details. Where relevant, we also collect medical information you choose to share so we can coach safely.
When you pay: payments are taken by our payment provider through our booking system. We see a record of the payment but never your full card details.
When you contact us: the details you send us through our contact forms, email or WhatsApp, such as your name, email address, phone number and message.
Photos and video: we may take photos or video during sessions, as described in our Terms and Conditions.
How we use it and why

| Replying to enquiries | Legitimate interests |
| Keeping financial records | Legal obligation |
| Using photos or video for promotion | Consent, which you can withdraw at any time |
We do not sell your data and we do not use it for marketing unless you ask us to keep in touch.
Who we share it with
We use a small number of trusted services to run the business. They process data on our behalf and only as we instruct:
- Acuity Scheduling (Squarespace) for online bookings and booking emails
- Our payment provider connected to the booking system, to take payments
- Web3Forms to deliver messages sent through the contact forms on this website
- Cloudflare to host this website
- WhatsApp and email providers when you message us that way
Some of these providers may process data outside the UK. Where they do, they rely on safeguards recognised under UK law, such as the UK International Data Transfer Addendum or adequacy regulations.
We may also share information with David Lloyd Shawfair where it is needed for safeguarding or venue access, or where the law requires it.
Cookies
This website does not use advertising or analytics cookies. The booking calendar is provided by Acuity Scheduling, which may set cookies needed for the booking process to work.
How long we keep it
We keep booking and payment records for six years to meet accounting requirements. Enquiries that don’t lead to a booking are deleted within 12 months. Medical information is kept only while you or your child attend sessions.
Your rights
You have the right to access the personal data we hold about you, to ask us to correct or delete it, to object to or restrict how we use it, to ask for a copy in a portable format, and to withdraw consent at any time. To use any of these rights, email headcoach@racqedcoaching.com.
If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page with the date it was last updated.
